How to Plan a Corporate Team Building Event in Bangalore

A step-by-step planning guide for HR and admin teams: goals, group size, venue, monsoon timing, budget and a pre-event checklist. From Batoota Games.

Most team building events go wrong before the day itself. The activity is usually fine. The problems come from earlier decisions: a vague goal, a headcount that changed twice, an outdoor venue booked in July, a budget agreed before anyone knew what was included.

We've run corporate team building in Bangalore since 2004, for groups from 10 to 1,000. This guide covers the decisions you need to make, in the order that saves you the most rework. It's written for the HR, admin or people-ops lead who has just been told to "sort out the team outing".

Step 1: Decide what the day is for

Write down, in one sentence, what should be different after the event. Everything else follows from that sentence: the format, the length, and how much time goes to the debrief.

Most briefs we receive fall into one of five goals:

  • Pure bonding. After a hard quarter, a merger, or rapid hiring. Suits high-energy, low-explanation games such as themed challenges and carnival formats.

  • Cross-team communication. Silos between departments or locations. Suits build challenges where separate groups must connect their work at the end.

  • Leadership and strategy. Senior teams, quarterly or annual planning. Suits facilitated methods such as LEGO® Serious Play and negotiation simulations.

  • Resilience and trust. Teams under pressure, or new teams. Suits escalating challenges and structured trust work with a debrief.

  • Culture and CSR. Values launches, wellness or sustainability agendas. Suits collaborative painting, upcycling and kindness-based formats.

Be honest if the answer is "people just need a good day out". That's a legitimate goal. It changes the plan: you'll want less debrief and more play.

If you have two goals, pick the main one. An event that tries to do everything tends to feel rushed and does none of it well.

Step 2: Fix the headcount, then the format and length

Headcount is the constraint that narrows your options fastest. Get a realistic number, not the invite list. Then add a margin of about 10% for late additions.

  • 10–50 people: almost anything works, including intimate formats like improv, trust work and facilitated strategy sessions.

  • 50–200 people: most formats, split into sub-teams. This is the widest choice. Plan space for teams of 4–6 working at once.

  • 200–500 people: formats built to scale, such as Building Bridges, Inner Picasso, Carnival Olympics and the treasure hunts.

  • 500–1,000 people: a small set of formats. BoomWhackers runs as a single ensemble of up to 1,000 people.

Large groups work when the activity splits cleanly into sub-teams and brings them back together at the end. That's the design feature to look for above 200 people.

How long? Most of our activities run between 90 minutes and 3 hours. That fits a half-day slot with lunch. A full day usually means two contrasting activities, for example a high-energy outdoor game in the morning and a reflective build or strategy session after lunch.

For offsites that include a late night, put the energetic activity in the late morning, not first thing. We once ran a 300-person session in Goa the morning after a cultural night. It worked because the format was built to lift energy, not assume it.

Step 3: Choose indoor or outdoor, and pick the venue

In Bangalore, the calendar decides this more than preference does. The monsoon runs from June to September, which makes a purely outdoor booking in those months a gamble.

  • June to September: choose an indoor format, or an outdoor one with an agreed indoor backup. Confirm the backup space when you book, not on the morning.

  • October to May: outdoor is a safe choice. It gives more energy and room for large groups.

Where to hold it. You have three realistic options:

  1. Your own office. Cheapest and easiest for attendance. Works well for indoor formats if you can clear a floor or a cafeteria.

  2. A hotel, banquet hall or conference venue in the city. Good for 100+ people and for pairing the activity with a dinner or awards.

  3. An offsite resort. Best for full-day and overnight events. Budget for travel time: on Bangalore roads, a resort 60 km out can take two hours each way.

When you shortlist a venue, ask three questions: How big is the usable floor or lawn? Is there a covered backup? Can we get in two hours early to set up?

Step 4: Set a budget that covers everything

The activity fee is rarely the biggest line. Venue, food and transport often cost more. Agree the total before you compare activity quotes, or you'll end up cutting the part that makes the day work.

What drives the cost of the activity itself:

  • Headcount. More people need more props, more facilitators and more space.

  • Format. A build challenge with materials per team costs more to run than a phone-based treasure hunt.

  • Duration. A 90-minute session and a full day are priced very differently.

  • Location. Your office costs nothing extra. An outstation resort adds travel and stay for the facilitation team.

  • Customisation. Branded props, company-value themes and custom awards add design time.

The other lines to budget for, and the question to settle for each:

  • Venue: is the space included with food, or charged separately?

  • Food and drinks: lunch only, or tea breaks and dinner too?

  • Transport: company buses, or reimbursed individual travel?

  • Stay: needed only for overnight offsites.

  • Extras: photography, DJ, sound system, trophies.

When you ask for quotes, give every provider the same brief: headcount, date, venue, duration and goal. Otherwise you'll be comparing different events, not different prices. We price each event individually for this reason. Tell us your brief and we'll send a customised quote.

Step 5: Choose the activity last

By now you know the goal, the headcount, the setting and the budget. That shortlist is usually two or three formats, not twenty-four. Picking the activity first is the most common planning mistake we see, because it forces every other decision to bend around it.

A few starting points, matched to common briefs:

  • Large, mixed-fitness group on an annual day: Carnival Olympics, 20–500+ people, around 2 hours.

  • Silos between departments: Building Bridges, where separate groups build sections that must join into one bridge. 10–500 people.

  • Leadership or planning offsite: LEGO® Serious Play, 2–3 hours or a full day, built around a question you choose.

  • Monsoon-proof and low setup: Gold Digger Treasure Hunt, run on phones with QR codes, indoors or out.

  • High energy, recognisable rules: Squid Game Team Building, safe prop-based versions of the famous rounds. 20–200+ people.

Whatever you pick, ask the provider how they'll adapt it to your goal. At Batoota, that briefing conversation is standard. We shape the scenario, difficulty and debrief around the outcome you named in Step 1.

Step 6: Work back from the date

Book at least one to two weeks ahead. For large groups, outstation offsites or dates near financial year-end, start earlier, because venues fill first. If your date is closer than that, ask anyway. Short timelines are often workable.

A simple timeline for a typical event:

  • 3–4 weeks before: agree the goal, date, rough headcount and total budget. Shortlist venues.

  • 2–3 weeks before: brief providers and compare quotes. Book the venue and the activity.

  • 1–2 weeks before: confirm headcount, food and transport. Share any branding, team names or company values to build in.

  • 2–3 days before: send attendees the timing, location, dress code and what to bring. Confirm the rain backup if outdoors.

  • On the day: allow setup time before guests arrive. Keep one point of contact with the facilitation team.

  • Within a week after: ask for quick feedback while it's fresh. Share photos and, if you painted or built something, put it on display.

Two details that are easy to miss:

  • Tell people what to wear. Outdoor and build formats need comfortable clothes and closed shoes. Nobody enjoys a relay race in formal shoes.

  • Plan for people who can't do physical activity. Good formats have roles for everyone, such as strategist, designer or scorekeeper. Ask your provider how they handle this. Ours are designed to be inclusive across fitness levels.
